IBPS attestation guide

The IBPS Contact refers to one or two designated individuals within a health service responsible for completing the IBPS attestation form. The contact will enter training completion statistics and ensure all required information is accurately recorded. Each health service may nominate up to two IBPS Contacts to facilitate this process.

The IBPS Signatory is the Chief Executive Officer (CEO). The signatory will review, sign, and declare that the information entered by the IBPS Contact is accurate and complete.

Hospitals that are part of a broader healthcare system may have the same signatory.

Step 1: Navigate to your client portal login page

Step 2: Log in to your client portal

Enter your username and password and click ‘login'.

Step 3: Click on the case number to access the form

You’ll be able to access the form through your home page when the attestation period is open.​

Step 4: Fill in ‘focus area’ details

Please provide answers for each focus area detailing:​

• total number of clinical staff eligible to be trained for IBPS​
• total number of clinical staff trained.​

Important note: ​

To meet the IBPS eligibility criteria, each participating hospital must have trained 80% or more of its birthing suite Clinical Staff, in all three focus areas. ​

If any of the answers do not meet the criteria, your signatory contact will be notified during the approval process. ​Regardless of the overall completion rate, we strongly encourage all participants to complete the attestation form. ​

Step 5: Fill in additional details

Please answer both questions.​

Important note: ​

During the training year at least 80% of clinical shifts need to have access to a senior clinician with a practitioner level 3, gained within the past two training years.

Step 6: Fill in if applicable

The above question is only required if any of the previously entered responses fall below the 80% threshold. Please provide any additional details or outline any extenuating circumstances that contributed to your health service not meeting the criteria.​

The more detail provided in this section the greater the likelihood the VMIA can consider grounds for your appeal.

Step 7: Click complete

Once you've entered all the required information, click 'Complete’.​

This action will notify the signatory that the IBPS attestation form has been completed and prompt them to log in to approve the submission. This will change the status of the case to ‘Pending-Approval’.

Step 1: Navigate to your client portal login page

As the IBPS Signatory Contact, you'll receive an email notification when your Health Service completes an attestation form. ​

The email will prompt you to review and approve the form.​

Please ensure the information provided is accurate to the best of your knowledge. ​

To review the form, simply click the link included in the email. ​

The email will include a direct link to the client portal, where you can access and submit your attestation form. Alternatively, you can also log in by visiting the VMIA website directly and navigating to the client portal section.

Enter your username and password and ​click ‘login'.

Step 3: Click on the case number to access the submitted form​

You’ll be able to access the form through your portal home page.​

Once your attestation form is ready for review, it'll appear as a task and ask you to 'Please review and approve the attestation form'. ​

Step 5: View Attachments

If any attachments are added as supporting information on why the health service did not meet 80% criteria, as the signatory, you’ll be able to open and review the attachments before approving/rejecting the attestation form.

Step 6: Approve or reject the submission

Once you’ve reviewed the form, either ‘approve’ or ‘reject’ it. ​

If you believe the details entered are inaccurate and require the non-signatory contact to revise the form, select ‘Reject’ and provide a note explaining the reason for the rejection. Once this action is completed, the non-signatory contact will be notified, and your reason will be included in the notification.

Step 7: Add your full name.​

Lastly, declare the above information is correct by ticking the box.
